Glossary

Search Criteria: information you specify on the Search Criteria tab that describes what is being looked for. This includes selecting which reports to search, a date range, and optionally, one or more Keywords, Operators and Values.

Structured Content: information that has been organized (structured) to allow identification and separation of the context from the information’s content.

Unstructured Content: refers to information or content that does not have a formal data structure.

Value: the specific information that is entered as part of Search Criteria on the Search Criteria tab that tells OptiWeb/OptiAuthor what to search for. For Example: to find the Value Smith in the Keyword grouping “Name.”

To help navigate through the enterprise content management world, here are a few definitions of some of the common ECM industry terms.

API (Application Program Interface)
A set of routines, protocols, and tools for building software applications. A good API makes it easier to develop a program by providing all the building blocks.

Archive
A collection of records or the location where records are kept. Archives are made up of records that have been created during the course of an organization’s life. Generally, these records have been selected for long-term preservation.

Archiving (IT Related)

Archiving used in the IT sense, is moving information off the live system into a different storage area or onto a different medium (NAS/SAN, tape, CD, DVD).

ASP (Application Service Provider)
A third-party entity that manages and distributes software-based services and solutions to customers across a wide area network from a central data center. In essence, ASPs are a way for companies to outsource some or almost all aspects of their information technology needs.

BPM (Business Process Management) / Workflow
Automation of business processes, in whole or in part, where documents, information, or tasks are passed from one participant to another for action, according to a set of rules. A business process is a logically related set of workflows, work steps, and tasks that provide a product or service to customers. BPM is a mix of Process Management/Workflow with Application Integration technology.

COLD (Computer Output to Laser Disc)

The storage of data on optical discs, such as CD-ROMs. Storing large volumes of data on laser disc, as opposed to microfiche or microfilm, lets the user access and search this information on a computer, avoid the duplication and security costs of protecting physical documents or film, and more readily distribute information.
